Note: Attendees registered under the “Delegate/Listener” or “Accompanying” categories are not eligible to present research in oral or poster sessions. Delegate/Listener is allowed to attend all the conference sessions. The accompanying person fee is solely for issuing an invitation and visa support letter and does not include conference access.

Cancellation and Refund Policy
Standard Guidelines
- 120 Days Before the Conference: Eligible for a refund, subject to a $200 administrative fee deduction.
- Within 100 Days of the Conference: No refunds will be provided, but registration fees may be credited toward future events.
- Processing Timeline: Approved refunds will be processed within 60 days of receiving a cancellation request.
Natural Disaster or Unforeseen Circumstances
The conference organizers reserve the right to postpone or cancel the event in unexpected circumstances, such as natural disasters or labor disputes.
- Refund Terms: Registration and accommodation fees will not be refunded under such conditions.
- Alternative Options: Participants may transfer their registration to a subsequent PHWC event or an affiliated conference.
Visa Support Services
The PHWC Committee is dedicated to assisting international participants by providing Visa Support Letters.
Visa Support Eligibility
- Confirmed Registration: Applicants must be registered attendees with an accepted abstract.
- Valid Identification: A scanned copy of the passport’s photo page is required.
- Institutional Verification: If relevant, submit a letter from your institution verifying your participation.
- Timely Application: To avoid processing delays, submit your Visa Support Letter request reasonably in advance.
